Teams Backups for Record-Keeping: What to Know in 2026

A local copy of a Teams conversation can be useful for reference and ordinary record-keeping, but it is not automatically a compliant archive. The right method depends on who controls the data, the purpose of the export, and your organization's retention, access, and legal obligations.

Important limitation

Teams Chat Backup is not a legal-hold, eDiscovery, records-retention, audit-trail, or certified compliance product. It does not make a file court-admissible and it does not replace Microsoft Purview, Microsoft Graph Export APIs, or your organization's approved process. Consult your administrator, records owner, or legal adviser for regulated use.

Choose the right export path

Teams Chat Backup

Useful for: Personal reference, project handoff, or a user-controlled copy of content visible in Teams on the web.

Limits: Not an authoritative tenant export, immutable archive, legal hold, audit trail, or certified compliance system.

Microsoft administrative tools

Useful for: Organization-wide retention, investigation, eDiscovery, legal hold, and governed export workflows.

Limits: Typically requires Microsoft 365 administrator roles, application permissions, policy decisions, and approved storage or review processes.

What v6.1 actually stores

Local Viewer first

Supported messages, authors, timestamps, and reply context are saved to the extension's IndexedDB database. PDF, HTML, TXT, and Pro ZIP files are created only when the user exports them.

Narrower permission model

Teams access begins when the user clicks the extension. Downloads and RevenueCat license checks are optional prompts, and no conversation content is used for a license check.

Before creating a local record copy

  • Confirm authority: make sure you are allowed to copy the conversation, especially when it contains customer, employee, health, financial, or confidential data.
  • Follow policy: use the retention period, naming convention, storage location, and deletion process approved by your organization.
  • Check completeness: compare the beginning, end, dates, authors, replies, and attachments with the source conversation before relying on an export.
  • Protect exported files: place them in approved encrypted storage, restrict access, and avoid ordinary email or consumer cloud sharing for sensitive records.
  • Preserve provenance: document who created the copy, when it was created, which Teams account and conversation it came from, and any known omissions.

Format choices

  • PDF: convenient for reading, printing, and sharing a stable-looking copy.
  • HTML: self-contained and useful when browser navigation and links matter.
  • TXT: lightweight and searchable, but with less visual context.

File format alone does not establish authenticity, completeness, chain of custody, or compliance. Those properties come from the surrounding governed process.

For formal organization-wide exports

Microsoft's Teams Export APIs support administrative export scenarios for chats, channel messages, attachments, reactions, control messages, and related content. Those workflows require the appropriate Microsoft Entra application permissions and should be implemented through your organization's approved Microsoft 365 process.
